When you register for SMF Forum 2026, we collect personal information submitted voluntarily through the registration form, including your name, qualification, designation, mailing address, phone number, and email address.
The information collected is used solely for the purpose of processing your event registration, communicating event-related updates, issuing confirmation of registration, and facilitating CME credit documentation with the Tamilnadu Medical Council.
We do not sell, rent, trade, or otherwise transfer your personal information to third parties. Your data may be shared internally within Sundaram Medical Foundation on a need-to-know basis for event administration purposes only.
Payment transactions are processed through HDFC Bank's SmartHub Vyapar platform and standard UPI or banking infrastructure. Sundaram Medical Foundation does not store or have access to your card or UPI credentials. Please refer to your respective payment provider's privacy policy for further details.
Registration and payment records may be retained for a reasonable period as required for institutional records, CME documentation, and applicable statutory obligations.

Registration fees paid for SMF Forum 2026 are towards a reserved seat at a time-bound academic event. All registrations, once confirmed, are considered final.
Cancellation requests may be submitted in writing by email to forum2026@smfhospital.org. Sundaram Medical Foundation will review each request on a case-by-case basis at its sole discretion. We do not guarantee refunds of registration fees under any circumstances.
In lieu of a refund, registered participants who are unable to attend may, at our discretion, be permitted to nominate a substitute delegate from the same institution, subject to prior written intimation and approval by the organiser.
Sundaram Medical Foundation reserves the right to cancel, postpone, or modify the event, any workshop, or session at any time, including due to circumstances beyond our reasonable control (force majeure, public health advisories, natural calamities, etc.). In such cases, the organiser's liability shall be limited solely to the registration fee paid and shall not extend to any travel, accommodation, or other incidental costs incurred by the participant.
Where a refund is approved at the organiser's sole discretion, it will be processed to the original payment source within 7 to 14 working days of approval. Sundaram Medical Foundation is not responsible for delays caused by banking intermediaries or payment gateways.
Registered participants who do not attend on the event date without prior written notice will not be eligible for any refund or transfer.
Workshop seat allocation is subject to availability and is on a first-come, first-served basis upon registration. The organiser does not guarantee placement in a specific workshop and reserves the right to adjust allocations as necessary.
Acceptance of Policy: By completing registration and making payment, participants acknowledge that they have read, understood, and agree to this Cancellation & Refund Policy. Sundaram Medical Foundation's decision on all matters relating to refunds and cancellations shall be final and binding.
